Invoice Template for Mechanics
By Harlequin Doyon
Every mechanic knows the moment: the job's done, the car's ready, and the customer wants to see exactly what they're paying for. A clear parts-and-labour invoice answers the question before it's asked. Speed Invoices gives independent mechanics and mobile technicians a free invoice template — fill it in online, download the PDF, hand it over with the keys. No signup, no watermark, and your customer data stays in your browser.
Parts and labour, itemised properly
The classic workshop invoice separates what you fitted from the time it took:
- Diagnostics — fault code read and investigation, often a fixed fee
- Labour — 2.5 hrs @ workshop rate — per job line, not one lump
- Parts — front brake pads and discs, oil filter, serpentine belt, each with quantity and unit price
- Consumables — 5L 5W-30 oil, coolant, brake cleaner
- MOT prep / inspection work described plainly, without country-specific claims about the test itself
Put the vehicle registration, make/model, and mileage in the invoice — the description fields handle it easily. It ties the invoice to the car, helps the customer's service history, and covers you if a query comes up months later.
How garage billing usually works
- Estimate first, invoice after — quote the likely parts and labour, get a yes, then invoice the actual figures. Speed Invoices generates quotes from the same editor, so estimate and invoice match.
- Authorisation for extras — when you find the seized caliper mid-job, get an OK (even a text) before fitting, then add it as its own line. Surprises on invoices are how disputes start.
- Payment on collection — the near-universal rule for retail customers. Trade accounts and fleet work run on monthly terms instead.
A tip that keeps the ramp earning
Don't release the vehicle before the invoice is settled — and make that easy by having the invoice ready when you call to say the car's done. Reading the total over the phone, then handing over a matching printed or emailed PDF at collection, removes the awkward pause at the counter. Fleet and trade customers on 30-day terms are a different story: invoice them the same day the work's finished, because their payment clock only starts when your invoice lands.
Built for the counter, not the back office
Totals, tax, and discounts calculate automatically. Add your workshop logo, pick a template that prints cleanly, and reuse consistent invoice numbering job after job. Mobile mechanics invoicing at the roadside can do it from a phone. If you also do bodywork or restoration as project work, staged billing works the way it does for contractors.
