Invoice Template for Tutors

By Harlequin Doyon

Between planning lessons and marking work, invoicing is the admin tutors put off longest. Speed Invoices makes it a two-minute job: a free invoice template you fill in online and download as a PDF, with no signup, no watermark, and no ads. Student and parent details never leave your browser — a privacy point that matters when your clients are families.

What a tutoring invoice should list

Parents paying for tuition want to see exactly which sessions they're paying for. The clearest format is one line per session or a dated summary line:

  • Individual lessons — "GCSE Maths tuition, 60 min — 4th, 11th, 18th, 25th June (4 sessions)".
  • Block bookings — "Block of 10 lessons, A-level Chemistry" as a single prepaid line.
  • Group sessions — a per-student rate for small-group tuition.
  • Materials — past papers, workbooks or printed resources, if you charge for them.
  • Online vs in-person — note the format in the description; many tutors price them differently, and travel time justifies the gap.

Dates in the line descriptions do double duty: they're your attendance record as well as the bill.

How tutoring is usually billed

The two dominant models are monthly in arrears — invoice at the end of each month for the sessions taught — and prepaid blocks, where a parent buys 5 or 10 lessons up front. Blocks give you predictable income and dramatically cut chasing; if you offer them, a small discount on the block price (which Speed Invoices applies automatically) is the usual incentive. Whichever model you use, state your cancellation policy on the invoice — e.g. "Sessions cancelled with less than 24 hours' notice are charged in full" — so it's agreed in writing, not argued by text message.

The tip that ends late payments for tutors

Move persistent late payers onto prepaid blocks. It reframes the conversation from "you owe me" to "shall we book the next block?" — easier for you, easier for the parent, and the lessons are always already paid for.

Term after term, the same invoices

If you invoice the same families every month, Pro ($5/mo) handles it: recurring invoices, scheduled sends on the last day of the month, and automatic payment reminders that save you the awkward follow-up. The editor and PDF download stay free forever.

Many tutors also write — resources, articles, exam guides. There's a dedicated invoice template for writers for that side of the desk.
