Invoice Template for Videographers

By Harlequin Doyon

Video projects have more moving parts than almost any other creative job — pre-production, shoot days, edit rounds, licensing — and the invoice needs to keep up. Speed Invoices gives videographers a free invoice template that does: fill it in online, add your logo, download a polished PDF. No signup, no watermark, and everything stays in your browser.

Breaking a video project into line items

A clear breakdown protects your price. When a client sees "Video — total", they negotiate the total; when they see the parts, they understand it. Typical lines:

  • Pre-production — "Concept development, scripting and shot list".
  • Shoot day(s) — "Filming, 1 day — 2-camera interview setup, sound recordist included".
  • Crew and kit — second shooter, drone operator, lighting hire, listed separately when they're extras.
  • Editing — "Edit, colour grade and sound mix — 3-minute brand film (2 revision rounds included)".
  • Licensing and deliverables — music licensing, additional cutdowns for social, raw footage handover fees.

Rich-text descriptions let you state what a line includes — especially how many revision rounds the edit fee covers, which is where video budgets most often unravel.

Deposits, day rates and the revision clause

Commercial video is typically billed 50% on booking, 50% on delivery — the deposit secures the shoot dates and covers crew and kit commitments you make on the client's behalf. Freelance shooting for other production companies runs on day rates with half-day minimums and overtime after 10 hours; agree those terms before the shoot and restate them on the invoice. For edits, bill extra revision rounds hourly beyond the included ones — and because the included number is printed on the invoice, the conversation stays friendly.

Speed Invoices handles the totals, tax and deposit deductions automatically, and supports 46 currencies for international productions.

The tip that gets video invoices paid

Deliver the final files only after the balance clears — watermark the approval cut. It's standard practice, clients expect it, and it converts "we'll pay next cycle" into same-week payment because the launch date depends on the files. Say it plainly in your terms line.

Regular clients, regular invoices

If you produce monthly content for the same brands — social packages, podcast video, event coverage — Pro ($5/mo) adds recurring invoices, scheduled sends and automatic payment reminders. The editor and PDF download are free forever.

Shooting stills as well? There's a matching invoice template for photographers for that half of the kit bag.
