Canadian invoicing has one wrinkle most countries don't: the tax on your invoice depends on the province. Some provinces use the federal GST (5%) plus a separate provincial sales tax (PST); others harmonise the two into a single HST. What a Canadian invoice needs
- Your business name and contact details.
- Your GST/HST registration number — required on invoices once you're registered.
- Your customer's name and details.
- The invoice date and a unique invoice number in a consistent sequence.
- Line items — what you sold, quantities, and unit prices.
- The tax breakdown — GST, PST, or HST shown clearly, plus the total.
Small suppliers who aren't registered for GST/HST simply invoice without a tax line and without a registration number.
One tax line or two? A worked example
Take a C$1,000 design project:
- In an HST province (harmonised, e.g. 13%): C$1,000 + C$130 HST = C$1,130 — one tax line.
- In a GST + PST province: C$1,000 + C$50 GST (5%) + the applicable PST as a second line — two separate lines, each visible on the invoice.
Showing each tax separately (with your registration number) is what keeps things clean when your customer claims input tax credits.
