Good news for US freelancers and small businesses: there's no federal VAT, so an American invoice is often simpler than its overseas cousins. The complexity, when it exists, comes from state sales tax — which varies by state and mostly applies to goods, not services. What a US invoice should include
- Your business name, address, and contact details — clients issuing a 1099 may also ask for a W-9 with your EIN or SSN, so having your EIN on file helps.
- Your client's name and address.
- A unique invoice number — sequential numbering keeps your books audit-friendly.
- Invoice date and payment due date — Net 15 and Net 30 are common terms.
- Line items — description, quantity, and rate for each product or service.
- Sales tax, if applicable — shown as its own line with the rate.
- The total due and how you'd like to be paid.
Do you need to add sales tax?
It depends on what you sell and where. Service invoices — consulting, design, development, writing — frequently carry no tax at all. Goods usually do, at whatever rate applies where the sale is taxed. Two quick examples:
- Consulting, no tax: 10 hours at $150/hr = $1,500 due, no tax line.
- Goods with an 8% state rate: $600 of product + $48 sales tax = $648 due.
If you're unsure whether your sales are taxable, that's a question for your state's rules — get it confirmed before you start collecting.
