What goes on a DJ invoice

Most DJ invoices are short, but the details matter. Typical line items look like this:

• Wedding DJ package (6pm–midnight) — your core performance fee.
• Extra hour of performance — the "one more song" that turned into two.
• Equipment hire — PA upgrade, lighting rig, wireless mics, haze machine.
• Travel — mileage or a flat call-out fee for venues outside your usual area.
• Deposit received — shown as a negative line or noted against the total.

Add the event date and venue in the line-item description so the client (and their accountant) can match the invoice to the booking months later. Rich-text descriptions make that easy.

Deposits and balance payments

Event work almost always runs on a deposit to secure the date — commonly 25–50% — with the balance due either before the event or on the night. Two clean ways to handle it:

1. Send a deposit invoice when the booking is confirmed, then a balance invoice closer to the date.
2. Send one invoice for the full fee and list the deposit as a deduction, so the amount due is just the balance.

Either way, put the balance due date in writing. "Due 7 days before the event" protects you far better than "on the night, probably."

A getting-paid tip for DJs

Invoice the balance before the event, not after. Once the party has happened, your leverage is gone and couples are on honeymoon, agencies are onto the next booking. Making "balance cleared 7 days out" a standard term is normal in the events world — venues and caterers work the same way, and clients expect it.

Corporate gigs and agencies

Corporate clients and agencies often need a PO number on the invoice and pay on 30-day terms.
