Invoice Template for Plumbers

By Harlequin Doyon

Job done, van packed — get the invoice out before you've left the street. Speed Invoices is a free invoice template plumbers can fill in on a phone, tablet or laptop and download as a PDF on the spot. No signup, no watermark, no ads, and the details stay in your browser rather than on some company's server.

Itemising a plumbing job

Customers dispute vague invoices and pay clear ones. A plumbing invoice normally breaks down into:

  • Call-out fee — the fixed charge for attending, stated as its own line.
  • Labour — hours on site at your rate ("Labour, 3 hrs — replace leaking stopcock and isolate supply").
  • Parts and materials — each significant part listed: "15mm isolation valve x2", "Flexible tap connectors", with your markup already included in the unit price.
  • Emergency or out-of-hours rate — a separate line or an uplifted labour rate for evening, weekend and holiday calls.
  • Waste disposal — removing an old cylinder or suite, if you charge for it.

Speed Invoices adds up labour, parts and tax automatically, so the total at the bottom is always right even when you're pricing the job kneeling in an airing cupboard.

How plumbing work usually gets billed

Small repairs are payment on completion — the invoice is handed over (or emailed) the moment the job's done. Bigger jobs like bathroom installations run differently: a deposit when the job is booked (often enough to cover materials), sometimes a stage payment mid-job, and the balance on completion. Insurance and landlord work is invoiced to the company, not the occupier — make sure the "bill to" details are the agent or insurer, with the property address in the job description.

The tip that saves plumbers the most grief

Price the parts before you fit them, and put the agreed figure on the invoice. Most payment disputes in plumbing start with a customer surprised by the materials cost, not the labour. A two-line text message quoting the part price before you drive to the merchant, mirrored exactly on the invoice, ends the argument before it starts.

For repeat and contract customers

If you do monthly maintenance for letting agents or service contracts for landlords, Pro ($5/mo) adds recurring invoices, scheduled sends and automatic payment reminders — useful when the same agent needs the same invoice every month. Creating and downloading invoices stays free forever.
